Role Overview 

The primary purpose and function of the Administrative Assistant is to provide proactive, responsive and administrative and project support to the Marketing Department. The Administrative Assistant also provides general clerical support such as managing the Marketing team schedule, creating agendas, preparing minutes for leadership meetings, preparing documents, managing a virtual filing system, organizing data, managing volunteer communications, and other projects as assigned. 

 

 

Essential Functions 

  • Assists with Marketing structural development 

  • Ability to make quick, clear judgments based on facts and communicates issues with sensitivity to different communication styles 

  • Creating and distributing weekly project status reports 

  • Business process definition and improvement 

  • Increasing brand awareness, customer adoption, and market 

  • Promotes teamwork and quality improvement programs with Human Resources 

  • Handles high level of activity and multiple priorities in a calm manner with common sense and independent action 

  • Ability to take, transcribe meeting minutes; uses shorthand or lap top computer; types 60+wpm. 

  • Ability to compose letters and memos using correct grammar and structures 

  • Performs other duties as assigned

  • Provide cross-training on specific job responsibilities

Required Hours 

 

This voluntary position requires a minimum of 10 hours per week be completed within time frames with a minimal commitment of 6 months. 
Optional time frames (please convert to your time zone for accurate availability): 
Between 11:00 AM - 3:00 PM EST Monday through Friday 
Between 6:00 PM - 10:00 PM EST Tuesday through Thursday 
Between 7:00 AM - 12:00 PM EST Saturday and Sunday

Qualifications 

Basic 

  • Education and/or experience in business management, or related field 

  • Minimum one-year experience providing administrative support to Marketing staff 

  • Ability to manage multiple tasks with a high level of organization, flexibility and focus, often under tight deadlines 

  • Excellent customer service skills 

  • Ability to work both independently and within a team and to use good judgment about when to ask for assistance or direction 

  • Ability to maintain confidentiality when performing assignments that are sensitive and confidential in nature 

  • Ability to gather, compile and analyze data 

  • Proficient with Microsoft Word, Excel, PowerPoint and Visio to collect, analyze and display information as necessary 

  • Experience leveraging social media platforms to enhance program effectiveness 

 

Preferred 

  • 4+ years field marketing experience in driving donor engagement and brand adoption through marketing campaigns 

  • Excellent organizational skills including ability to effectively handle multiple priorities and demands in a dynamic work environment. 

  • Excellent written and oral communication skills (including grammar, spelling and proofreading skills) with the ability to assist in all forms of business correspondence
