Role Overview 

The primary purpose and function of the Administrative Assistant is to provide proactive, responsive and administrative and project support to the Human Resources Department. The Human Resources Administrative Assistant is responsible for entering and managing data in the HR information system (HRIS), managing awards administration, volunteer hours management, as well as monitoring and updating SharePoint. The Human Resources Associate will also support the HR Director by providing data in support of Human Resources initiatives as well as overall management of compliance reporting.  

 

 

 

Essential Functions 

  • Assists with Human Resources structural development 

  • Manages and enters data into the HRIS 

  • Ensures database accurately reflects personnel actions: new hires, terminations, status changes, reallocations, etc. 

  • Coordinate information with Administrative Support team with awards and volunteer benefits. 

  • Manages HR data analysis on hiring rates, turnover, and other data points as directed by the HR Specialist. 

  • Organizes orientation and training activities for new volunteers with Administrative Support Team. 

  • Creates and updates volunteer benefits communication materials. 

  • Coordinates leave of absence with HR Specialist 

  • Promotes teamwork and quality improvement programs with Human Resources 

  • Handles high level of activity and multiple priorities in a calm manner with common sense and independent action 

  • Ability to take, transcribe meeting minutes; uses shorthand or lap top computer; types 60+wpm. 

  • Ability to compose letters and memos using correct grammar and structures 

  • Performs other duties as assigned

Education, Training & Experience: 

 

  • A minimum of a high school diploma or equivalent and have 3 years related experience. 

  • Additional education can be substituted to meet the requirements for experience. 

  • Minimum one-year experience providing administrative support to Human Resources staff 

  • Must be adept to learning and proficient in using office technology platforms such as Office 365 (experience with SharePoint is a plus) and HRIS platforms. 

 

Required Hours 

 

This voluntary position requires a minimum of 10 hours per week be completed within time frames with a minimal commitment of 6 months. 
Optional time frames (please convert to your time zone for accurate availability): 
Between 1:00 PM - 6:00 PM EST Tuesday through Friday 
Between 6:00 PM - 10:00 PM EST Tuesday through Thursday 
Between 7:00 AM - 7:00 PM EST Saturday and Sunday

Qualifications 

Basic 

  • Performs full administrative support in the Human Resources department. 

  • Work is of a responsible and confidential nature requiring the execution of independent judgment and discretion. 

  • Responsible to and subject to the direct supervision of the Human Resources Director and/or their designee. 

  • A minimum of a high school diploma and 2-4 years of general administrative support experience 

  • Must be responsive and work with a sense of urgency 

  • Must be able to communicate effectively and professionally, verbally and in writing, to employees and managers of all levels, to include senior and executive-level management 

  • Knowledge of basic concepts of Human Resources 

 

Preferred 

  • Must possess strong organizational skills, be able to multi-task in a fast-paced, complex environment with multiple competing priorities
